Management Elements are the components within an organization that define how work is coordinated, monitored, and controlled. They include the principles, practices, and functions used to manage and organize work effectively to achieve the organization’s goals.

These elements establish structures for authority, accountability, and decision-making within a project or an organization. They are essential for defining roles, responsibilities, and processes in both project and organizational management.

1. Division of Work

The work within an organization or project should be divided into manageable tasks. This allows for specialization and improves efficiency by assigning tasks to the right people with the right skills.

2. Authority

Authority refers to the power and right to make decisions, give instructions, and ensure that tasks are completed.

There are two types of authority:

3. Responsibility

With authority comes responsibility. Responsibility means being accountable for the tasks assigned and ensuring that the work is completed as expected.

4. Discipline

Discipline ensures compliance with organizational rules, policies, and processes. It involves maintaining order and professionalism to ensure project success.

5. Unity of Command

Each team member should have one direct manager to avoid conflicting instructions and ensure clarity in communication.

6. Unity of Direction

All team members should be working toward the same objective and following the same plan. This ensures that efforts are aligned with project goals.

Example:

7. General Interests Over Individual Interests

The project’s or organization’s goals should take priority over individual team members’ personal goals. This ensures the success of the project as a whole.

Example:
If a team member wants to add a feature that is not part of the project scope, the Project Manager must ensure that the scope is maintained to meet project objectives.


8. Centralization and Decentralization

This refers to how decision-making is distributed within the organization.

  • Centralization: Decisions are made by a few top-level managers.
  • Decentralization: Decisions are made by multiple levels of management.

Example:
A large organization may centralize budgeting decisions at the executive level but decentralize day-to-day project decisions to Project Managers.


9. Scalar Chain

The scalar chain refers to the hierarchy of authority within an organization. It ensures clear communication paths from top-level management to front-line employees.

10. Order

Order ensures that resources (people, tools, and materials) are used efficiently and are in the right place at the right time.
